AI assistants on WhatsApp and the web that reply and act, with staff approving

An AI assistant that answers and acts on WhatsApp, email and your website, checking your systems first, with staff approving its work until you trust it.

The problem

Customers and partners write on WhatsApp and email at all hours. Most messages need someone to check a system before replying. Messages pile up, and answers vary with who replies. A basic chatbot answers from a fixed menu and cannot see your systems.

The assistant checks your systems before it drafts a reply

The assistant reads each message, including photos and voice notes. It looks up the order, booking or account in your systems and drafts the reply or the action. At first, a member of staff checks each draft and sends it with one click. Anything outside its rules goes to a person, with the details attached.

Systems it touches

  • WhatsApp Business Platform
  • Shared mailboxes
  • Website chat and forms
  • CRM, order and booking systems

Example

A delivery moved by voice note

A made-up case that shows the mechanism. It describes no client.

  1. A customer sends a WhatsApp voice note asking to move Thursday’s delivery to Saturday.
  2. The assistant transcribes the voice note and finds the order in your order system.
  3. It checks the delivery calendar and finds a free slot on Saturday morning.
  4. It drafts a reply offering that slot, plus the booking change, and puts both in the staff queue.
  5. A member of the support team checks the draft and approves it with one click.
  6. The reply goes out on WhatsApp, the booking moves, and the conversation and approval are logged.

It works in the systems you already have

Channel assistants connect through official business services such as the WhatsApp Business Platform. Webhooks are signed, so forged messages are rejected. Conversation data stays in your accounts.

Where your data stays

Permissions limit what it can touch

Where a person approves

  • Approval first: staff send every reply
  • Rules for passing a message to a person, agreed with you by topic and by customer
  • Complaints and sensitive topics always go to a person
  • We agree templates and tone with you before the first message goes out.
  • The customer can always reach a person, and the assistant says plainly that it is automated.
  • Staff approval is removed one topic at a time, and only when the logs show it is safe.

Everything we build is handed to your team

Who owns the code, and how handover works
  • Connections to your channelsUnder your own business accounts, such as WhatsApp Business. You hold the keys.
  • Reply templates in your customers’ languagesAgreed with you before launch. Your team edits them.
  • Rules for passing messages to a personWritten by topic and by customer. Your team changes them.

How we would start

Discovery, then one channel with staff approving

We start with one channel and the types of message that arrive most. Staff approve every reply until the logs show the drafts can be trusted.

How we work together

Questions

Will customers know they are talking to an AI assistant?

Yes. The assistant says what it is, and a person is always one message away.

Can it take actions, or only answer?

Both, within the permissions you set: moving a booking or raising a request, for example. Every action follows the same approval rules as replies.

How is this different from a basic WhatsApp chatbot?

A basic chatbot answers from a fixed menu. This assistant checks your systems before it replies, and it can act within the permissions you set. Staff approve its work until the logs show it can be trusted.

Send us the messages that wait longest for a reply

Name the channel and the questions that arrive most. We will show which replies an assistant could draft for your staff to approve.
